Role Overview

The Operations Assistant supports the day-to-day operations of its Boston Seaport office. This role offers the opportunity to work within a dynamic, expanding organization and support firm leadership across multiple functions. The ideal candidate thrives in a fast-paced professional environment, demonstrates exceptional attention to detail, and is capable of managing multiple priorities while consistently meeting deadlines.

Responsibilities

  • Provide operational and administrative support to managers, directors, partners, and legal staff.
  • Organize and create system for filing and maintain accurate documentation and records.
  • Coordinate and optimize workflows/processes for office services staff to maximize efficiency.
  • Serve as the primary point of contact for internal staff and external vendors, and promptly answer operations-related questions for vendor coordination.
  • Coordinate and execute internal and external office events.
  • Support the day-to-day operations of the Boston office.
  • Occasionally staff the reception desk to greet and assist guests/visitors throughout meetings, providing exceptional client service. 
  • Provide support for real estate, office expansion, and construction projects through asset management and the implementation of project management system.
  • Manage and prioritize a high volume of tasks with accuracy and professionalism.
  • Ensure deadlines are met and exceeded in a fast-paced environment through proactive work.
  • Other duties as assigned.

 

Qualifications

  • Bachelor’s degree required.
  • 4+ years of professional experience in an office or legal environment.
  • Outstanding verbal and written communication skills.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe, and Canva.
  • Experience with Zoom and Microsoft Teams.
  • Highly organized with strong attention to detail.
  • Proven ability to manage competing priorities and meet deadlines through creative problem solving.
  • Professional demeanor with strong interpersonal skills.
  • Ability to interact with individuals at all levels of the organization.

The role is based in our Boston, MA office and requires an onsite work schedule five days per week. The base annual pay range for this role is between $80,000 - $90,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity.
